Transactions come in either with a bank file or (increasingly) via the open banking or PSD2 account information service, which means that no one has to upload a statement. The logic of matching is stepwise: an exact reference number gives a certain match; in the case of a receipt without a reference, the system matches the amount, date, and party pattern; and if there is no certainty, it does not count the money, but raises the line as an exception. It is this last feature that distinguishes the tool from a toy.

What does the system do on its own?

Routine majority. A customer payment with the correct reference number finds its invoice in seconds. Standing payments (rent, licenses, communications) match the pattern even without a reference, because the same amount from the same party on the same date is recognizable. For card payments and service fees, the system learns from your previous practice where these entries go. The result: daily matching becomes a sample-based review, and this is the same shift that has been going on 73% from accounting firms by implementing automation.

What remains in the hands of man – honestly

Four classics. Consolidated payment: the customer pays three invoices with one transfer – the system can offer a breakdown, but the confirmation is yours. Partial payment: whether the rest is a discount, a debt or an error is a business decision. Receipt without reference and explanation: the machine shows candidates, the person makes the decision. And currency differences: recording the exchange rate difference is a rule that you set. If some solution claims that these cases will disappear too, ask „how”: the correct answer includes the word „confirm”.

How to start?

Connect your bank via open banking, let the system learn history for a few weeks, and then look at the list of exceptions: this is the real scope of your handiwork from now on. Bank comparison fits best with with automatic posting: a folded entry, which is also correctly posted, closes the circle.
